Company knowledge · ArchiSoft perspectives

An answer needs its context

Why organisational knowledge needs provenance, permissions and visible uncertainty.

The document is only the beginning

A design record may explain a decision while leaving its original constraints implicit. A later reader can find the text and still miss why the choice made sense at the time.

Useful knowledge support should help people ask when a decision was made, which assumptions supported it and whether anything has changed. Finding a plausible sentence is not the same as resolving the question.

Make the source inspectable

An answer should provide a route back to the records that support it. People need to inspect the evidence, understand its age and distinguish an agreed decision from a draft suggestion.

When sources disagree, the system should make that conflict visible. Combining contradictory accounts into one confident answer can hide the very issue that needs attention.

Respect the original boundaries

Information being technically searchable does not make it appropriate for every user. Access rules need to apply throughout retrieval and answer generation, with careful handling of derived summaries.

Begin with a bounded collection and a clearly defined audience. Establish which information is suitable before considering broader access.

Evaluate useful answers

Build a set of realistic questions with people who understand the work. Assess relevance, supporting evidence, missing context and the effort required to verify the answer.
